WebAda Solutions Privacy Policy

This Privacy Policy explains how WebAda.Solutions (WebAda, we, us, or our) handles personal information when you visit our website, submit a website for an accessibility scan, purchase or receive a report, or contact us. It covers information about customers and visitors, as well as personal information that may appear in website content processed during a scan.

WebAda.Solutions is operated through Scouts Honor, Another TDC Initiative, from Crystal River, Citrus County, Florida, United States. Contact us at contact@webada.solutions with privacy questions or requests.

1 Information you provide

We collect the website address you submit and the information you provide when requesting a report, purchasing an audit, or contacting us. This includes your email address, your name or organization when provided, and the contents of support messages. We also keep records needed to connect a scan, purchase, payment confirmation, and report delivery.

You can decline to provide information, but we may be unable to complete a purchase, deliver a report, or respond to a request without the information needed for that purpose. Please provide an email address you control and check it for accuracy before purchasing.

2 Website content and scan results

Our scanner retrieves publicly accessible website content within the scan scope. This can include page addresses, text, HTML, attributes, links, and other information needed to render and test a page. Retrieved content may contain names, contact details, or other personal information published on that website.

We process scan identifiers, timestamps, progress, page counts, errors, accessibility findings, and items requiring manual review. Reports may include page addresses, affected elements, selectors, relevant HTML excerpts, and remediation guidance. Standard and Technical reports present the same underlying results with different levels of detail. A Technical report may therefore contain personal information present in an affected element or its surrounding markup.

WebAda scans publicly accessible website content within the requested scan scope. The Service does not use customer-provided credentials to access private or restricted areas.

When we process website content on an organization's behalf, that organization may have its own responsibilities for that information. A person whose information appears on a scanned website may contact us about our copy and may also need to contact the website operator about the original content. Removing information from WebAda does not remove it from the source website.

3 Payments

A third-party payment processor handles payments for paid reports. Payment-card details entered into the hosted checkout are provided directly to that processor. Our report purchase flow does not require you to send your full card number or card security code to WebAda by email or through the scan form.

We receive information needed to confirm payment, fulfill your order, keep transaction records, and handle refunds, fraud, or payment disputes. Depending on the payment method and checkout configuration, this may include your name, email address, billing details, payment status, amount, currency, transaction identifiers, and limited payment-method details, such as the card brand and last four digits.

The payment processor also handles information for payment, security, fraud-prevention, and legal purposes under its own privacy notice presented through the checkout service. A purchase is a one-time transaction, as described in our Terms of Service.

4 Email and report delivery

After successful payment confirmation, we use your email address to deliver access to the Standard and Technical PDF reports. Delivery may include a report link, PDF attachments, or both. Reports are generally sent from reports@webada.solutions, with support available at contact@webada.solutions.

You must download and save any report you wish to keep within 72 hours after delivery. Access through WebAda expires at the end of that period, and we do not promise that an expired report can be recovered or delivered again.

Our email-delivery provider processes the recipient address, message contents, report links or attachments included in the message, and delivery information needed to send and troubleshoot email. We may retain delivery status, failures, and related correspondence to resolve delivery problems and document fulfillment.

Reports and report links can reveal website details. Treat non-public links as confidential: depending on the access method, a person who receives a link may be able to open the report during the 72-hour access period. Forwarding an email or sharing an attachment can give another person access to its contents. Your email provider also processes and stores the email under its own policies. Deleting our copy does not delete copies already received, downloaded, or forwarded by others.

5 Technical information and browser storage

Our website and infrastructure providers may process IP addresses, browser and device information, request addresses, timestamps, response codes, and error or security logs when you use the Service. These records help deliver the website, operate scans, diagnose failures, and protect against abuse.

Cookies, session information, or browser storage may be used where needed for checkout, security, continuity of a scan, report access, or preferences. Our payment processor may use its own cookies or similar technologies in connection with payment and fraud prevention. Blocking browser storage or cookies may affect those functions.

We do not use browser Do Not Track signals to change necessary operational processing. Where applicable law requires recognition of another privacy preference signal, we will honor that requirement.

6 Meta Advertising Measurement

WebAda.Solutions activates the Meta Pixel only when our website detects that a visitor arrived through a WebAda advertisement on Facebook or Instagram. WebAda uses it solely to measure which advertisement, Meta platform, or advertising placement resulted in a website visit.

Activating the Pixel causes the visitor's browser to communicate directly with Meta. As part of that communication, Meta may automatically receive limited technical information, such as the page and referring address, IP address, browser or device information, and cookies or similar identifiers. WebAda does not request, view, download, or independently retain that raw technical information.

WebAda does not intentionally send Meta names, email addresses, website addresses submitted for scanning, scan contents or findings, payment information, or other information entered into the Service. We use only aggregated advertising-performance reports and do not use the Pixel to identify individual visitors or create remarketing audiences. Meta processes information it receives according to its own terms and privacy policy. Although WebAda does not sell this information or use it for cross-context profiling, applicable law may classify its transmission to Meta as sharing for targeted or cross-context behavioral advertising.

7 How we use information

We use personal information to run requested scans, display results, generate and deliver reports, process purchases and refunds, respond to support and privacy requests, and maintain records of those activities. We also use information as needed to secure and troubleshoot the Service, prevent fraud and misuse, resolve disputes, enforce our Terms, and meet legal obligations.

Identifiable website content is used only as needed to perform the requested scan, generate and deliver its reports, secure or troubleshoot the Service, respond to support requests, prevent abuse, comply with law, or enforce our Terms. It is not made available for unrelated product improvement or generalized artificial-intelligence model training merely because you requested a scan. Any such separate use would require your permission or another valid legal basis disclosed before that use, including consent where required.

We may use aggregated or de-identified operational information to measure performance and improve the Service. We do not use that information to identify you or disclose confidential website content, and we will not attempt to reidentify it except where permitted by law for purposes such as checking the effectiveness of de-identification.

8 Providers and other disclosures

We use service providers for website and application hosting, database storage, background scan processing, payment processing, transactional email delivery, security, and technical support. Each provider receives only the information reasonably needed to perform its function. For example, infrastructure providers process website requests and scan data; the payment processor handles checkout and transaction information; and the email provider handles report-delivery messages.

Providers handle information under their applicable agreements and legal obligations. A provider may also process information for its own security, fraud-prevention, compliance, or service-administration purposes under its privacy notice. Using a provider does not remove our responsibilities for information under our control.

We may disclose relevant information to professional advisers or authorities when necessary to comply with law, respond to lawful process, establish or defend legal claims, investigate fraud or abuse, or protect people, rights, and systems. If the business is involved in a merger, sale, reorganization, or similar transaction, information may be disclosed to relevant parties subject to appropriate confidentiality protections and applicable law.

We also disclose information at your direction, including through report delivery or sharing you request. We do not sell personal information for money. Providing information for a scan or purchase does not authorize unrelated marketing by other brands.

9 How long we keep information

Scan content, findings, and generated reports are retained for 72 hours after report delivery. Customer access expires at the end of that period, and the stored scan and report package is then scheduled for deletion. Download and save any report you wish to keep before access expires.

We may retain limited transaction records for up to seven years when reasonably necessary for accounting, tax, refund, fraud-prevention, chargeback, or payment-dispute purposes. These transaction records are separate from the scan content and report files and do not include the complete audit package or full payment-card number.

Contact correspondence, delivery records, and technical or security logs are retained only as long as reasonably necessary to respond to requests, document fulfillment, diagnose errors, protect the Service, address misuse, or comply with law. Information involved in a pending refund, dispute, investigation, or legal preservation requirement may be retained until that matter is resolved. Residual copies may remain temporarily in backups until the applicable backup cycle overwrites or expires them.

10 Security

We are responsible for taking reasonable measures appropriate to the information we handle to protect it against unauthorized access, loss, misuse, or disclosure. No website, email system, or storage service can guarantee absolute security. This Policy does not promise a particular certification or that a security incident can never occur.

Protect your email account, downloaded reports, and non-public links. Report suspected unauthorized access or accidental disclosure to contact@webada.solutions. We will evaluate reported incidents and provide notifications required by applicable law. Please do not include passwords, full card details, or unnecessary sensitive information in an incident report.

11 Your choices and privacy requests

You may contact contact@webada.solutions with questions or requests concerning personal information controlled by WebAda.Solutions. Privacy requests apply only to information in our possession or control. We cannot change or delete information from a website submitted for scanning; requests concerning the original website must be directed to that website's operator.

Include the email address used for the transaction and enough information to identify the relevant scan or record. Do not send identity documents unless we request information needed for verification. We may ask for proportionate verification of your identity or an agent's authority to prevent unauthorized disclosure or deletion.

Where applicable law grants you a right concerning personal information in our possession, we will respond within the legally required period and honor the request subject to permitted exceptions. We may retain information necessary to document transactions, comply with recordkeeping requirements, prevent fraud, resolve disputes, protect legal rights, or meet other legal obligations.

Necessary service emails concern your report, purchase, support, or security. They are separate from promotional email. If we introduce promotional emails, we will provide any legally required consent process and an unsubscribe method. Withdrawing marketing consent will not prevent messages necessary to fulfill an order or meet legal obligations.

12 International information handling

WebAda operates from the United States. Providers may process information in the United States and other countries in which they operate. Privacy laws may differ from those where you live. Where applicable law requires safeguards for an international transfer, the transfer must be supported by a permitted mechanism; using the Service does not by itself waive those protections.

Where applicable law requires a legal basis for processing personal information, we rely on providing the Service you requested, protecting and operating the Service, complying with legal obligations, or obtaining consent where required.

13 Children and external websites

The Service is designed for business and organizational accessibility work and is not directed to children under 13. We do not knowingly solicit personal information directly from children under 13. If you believe a child has provided information directly to us, contact us so we can investigate and take appropriate action, including deletion where required. Information incidentally appearing on a scanned public website is handled under the website-content provisions above.

This Policy covers WebAda's handling of information. It does not govern the source websites we scan or independent third-party services you visit. Those services have their own privacy practices.

14 Changes and relationship to the Terms

We will update this Policy when our information practices change and revise the Last updated date. Material changes will receive notice, and consent will be obtained, where required by law. Posting an update does not itself authorize a materially different use of previously collected information where additional notice or consent is required.

Our Terms of Service govern purchases, report licenses, refunds, and use of the Service. This Policy governs the personal-information practices it describes and controls if the Terms conflict with it on those matters. It does not waive privacy rights or legal responsibilities that cannot lawfully be waived.
